Overview

Ovaro stands out by integrating all essential business processes into one platform, fostering alignment across leadership, staff, and operations. The vision is to become the premier application that empowers organisations to reach their full potential through enhanced control, alignment, and the well-being of staff.

The goal of this project was to identify any usability issues for both the business and users, in order to prioritise them for the next iteration of the product.

Background

StrategiQ is a UK-based marketing agency that helps ambitious brands outperform their objectives through world-class advisory, creative, marketing, and technology services.
Learn more about StrategiQ
I joined StrategiQ as a UX designer in April 2024, as one of 8 designers in a company with 50 engineers and 5 project managers. I am actively involved in the discovery and kickoff phases of projects by gathering and analysing all performance data and SEO metrics to understand business objectives and identify potential solutions. I design wireframes and sitemaps that clearly highlight these objectives and proposed solutions, and then hand them off to the creative team for implementation.
I've grown tremendously in 7months, some key achievements of which I have listed below:
• Helped designers gain a deep understanding of business objectives, ensuring designs are not only visually appealing but also user-centric.
• Organised and led workshops to educate designers on have component base designs.
• Collaborated closely with Development team to ensure seamless integration of design components, improving overall project outcomes.
• I created a design system with reusable components that made our products more consistent and sped up the design-to-development process. This also improved teamwork between designers and developers by making sure the design system was well-documented and easy to integrate into the codebase.

Process

Our process at StrategiQ is based on the Double Diamond Approach and Lean UX process. We aim to incorporate the key phases of Discovery, Definition, Ideation and Implementation in all of our projects.

I conducted a brainstorming workshop with the team to uncover pains felt by individuals. It was revealed that:
• Users struggled with performing simple tasks while interacting with the system.

• Many users were unaware of the extent of their difficulties.

• Key areas of confusion and frustration were identified during the interaction process.

Understanding the Problem

Before I joined StrategiQ, they were using an operating system that I was briefed on during my onboarding. I wasn't initially aware that I would be working with this system. I still remember the day when our assistant tried to explain the product to me and became confused while interacting with it. Without any prior notice, I participated in my first user testing session, which helped me identify issues early on. The product lacked good UX, causing people to frequently become confused, even when performing simple tasks.

For this reason:

From these findings, I decided as a UX Product Designer to identify key goals:
• Be fully briefed on all the sections

.Keep user testing results in mind.

• Understand the current operating system.

• Have meetings with the client to understand their business goals.

• Implement UX solutions that align with both business and user goals.

• Continuously review feedback and iterate on designs.

• Ensure designs meet the evolving needs of users and stakeholders.

Organisation Registration

Goal

The goal was to make a smooth and easy registration process that worked well for both users and the business. This meant making sure users could sign up securely, easily access subscription plans, and follow best practices for business registration.

Scope and challenges

I needed to design a registration process based on business needs, which included deciding if users should sign up as a business or an admin, what information to collect, if email verification was needed, when users should choose a plan, and how to clearly show this process on the first page.

Solution

After meeting with the Operations Director and researching UK’s business registration processes, I created a registration journey where users first sign up as an admin, then verify their email, and finally choose a subscription plan. This approach made the process clear, secure, and user-friendly.

Subscription plan

Goal

The goal of the subscription plan page was to clearly present various subscription options and their pricing, build user trust through transparency and customer reviews, and highlight key features of each plan to aid users in making informed decisions.

Scope and challenges

I needed to design a visually appealing layout that clearly communicates plan options and pricing. To gather the necessary requirements, I arranged a meeting with the Operations Director and client, discussing plan options, key features, trust elements, supported payment gateways, and ensuring easy access to customer support and FAQs.

Solution

I developed a subscription plan page that aligns with our business and pricing models. Using a data-driven strategy, I highlighted our top plans and ensured users have access to all features. I incorporated customer reviews to build trust, added FAQs, and included clear calls-to-action for easy access to customer service.

Dashboard

Goal

This is the current dashboard design in the current OS. I just realised that the client wants to keep some of these metrics. The goal is to implement a comprehensive dashboard that provides an intuitive overview of user needs, ensuring easy navigation and clear data visualisation. This should align effectively with business objectives by enhancing system management efficiency, supporting real-time updates, offering customisation options, and maintaining high standards of accessibility and performance.

Scope and challenges

This involved understanding the diverse needs of both the business and users, conducting thorough requirements gathering sessions, and defining clear project objectives. Challenges included balancing visual appeal with functional utility, integrating complex data sources into a coherent interface, and ensuring scalability and performance under varying user loads.

Solution

I facilitated productive meetings with clients and product owners to define requirements and objectives. As a result, I implemented two key sections in the dashboard: one showcasing quarterly business goal reports through graphs, and another catering to personal user preferences, including weekly goals, shoutouts, shortcuts, bonuses, MVP recognition, and training reports.

Chatbot

Goal

The goal of implementing an AI-powered chatbot was to provide users with the ability to ask questions and receive intelligent responses through an interactive chat interface.

Scope and challenges

I had several meetings with the client to discuss integrating an AI chatbot into our new Ovaro project, specifically within the dashboard and other pages. The outcome was to implement a large-scale chatbot in the dashboard and a chatbot section at the bottom of each section. I needed to consider various scenarios, the language, and other prompts we would use. Additionally, I had multiple meetings with the developer team to ensure technical feasibility and integration for this reason I made a background brief to what problems and challenging we’re trying to solve which you can find here! Solution

The solution was to design the UI for these chatbot sections and consider the prompts and scenarios that users might encounter. This includes determining what the prompts should look like and identifying the common questions our users may ask.

Skill Matrix

Goal

In this project, my primary goals were to design a Skill Matrix section with a user-friendly UX and visually appealing UI, create an intuitive interface for quick understanding and interaction with skill data, and utilise effective data visualisation techniques for clarity.

Scope and challenges

The challenges I faced included representing complex data in a comprehensible way, engaging users with interactive elements, and balancing the amount of information displayed to prevent overload while maintaining consistency and clarity throughout the design.

Solution

I implemented circle graphs with a color-coding guide to visually represent skill levels, making it easy for users to identify proficiency. I designed interactive skill cards with hover functionality to display an overview of subskills, with detailed data accessible through clicks for seamless navigation. Extensive research on data visualization techniques ensured the Skill Matrix was both informative and user-friendly, integrating it into the people profile, settings, and department view for a smooth, cohesive experience.
